WISMO automation: why macros are not enough
Almost every “where is my order?” request can be answered from data you already have: the order in your store, the tracking number, the status at the carrier. Yet each one still lands with a person who opens the helpdesk, the store backend and the carrier portal side by side.
The usual shortcut is the macro: “Your order is on its way.” It answers the words and ignores the question. The customer wants to know where the parcel is right now and when it will arrive. An automated reply is only worth sending if it contains the real tracking status of that specific order.
What are WISMO requests?
WISMO stands for “where is my order?”. It covers every message in which a customer asks about shipping status: where the parcel is right now, when it will arrive, why the tracking has not moved. For most D2C brands that is 30–50% of all inbound tickets, the single biggest category in ecommerce support. Each one realistically takes 4–6 minutes to look up; how to turn that into your cost per ticket is explained in what a support ticket really costs.
How to prevent WISMO tickets before they exist, with better delivery estimates and proactive shipping notifications from your store system, is covered in our WISMO playbook. This page shows how Sondercase answers the order status questions that still come in.
A “where is my order?” request with Sondercase
A typical case, Sunday evening, by email:
“Hi, I ordered on Monday (#1048) and still haven’t received anything. The tracking page hasn’t changed in days. Has my parcel been lost? Thanks, Lisa”
Classification. Sondercase recognises an order status request with a quiet worry about loss. Not a return, not a cancellation, not a defect.
Live data. Sondercase pulls order 1048 from Shopify or WooCommerce, reads the tracking number and queries the current status at the carrier. In this example: shipped with DHL, last scan two days ago at the parcel centre, delivery announced by the carrier for tomorrow.
Reply. From that, it writes a reply in your brand’s voice:
“Hi Lisa, your parcel is on its way. DHL last scanned it on Friday at the parcel centre, and according to DHL it will be delivered tomorrow. Here is your tracking link so you can follow it yourself. If it hasn’t arrived by Tuesday, just reply and we’ll take care of it right away.”
Sending. If you have switched the category to automatic, the reply goes out directly, even at 11pm on a Sunday. In draft mode, for example during the trial, you see it first with its reasoning and a confidence score and approve it with one click.
The same request can just as well arrive via WhatsApp, Instagram or Facebook. Sondercase replies in the same channel and in the customer’s language.
The four cases behind “where is my order?”
The parcel is in transit, all normal
The most common case and the simplest: current status, last scan, expected delivery, tracking link. These replies are verifiable and low-risk, which is why they are the first ones merchants switch to automatic. This matters most in the evenings and at weekends, when your team is offline: a customer who writes on Sunday and hears nothing until Monday afternoon often writes again, and one ticket becomes two.
The parcel is stuck or late
No scan for days, a missed delivery date, a parcel sitting at the depot. Sondercase explains what the tracking actually shows and promises nothing the carrier data doesn’t support. What you offer for delays, whether patience, a replacement or a refund, is set by your rules. If the case is unclear, it comes to you.
The parcel is lost, or “delivered but not here”
This is about money and trust. Sondercase does not decide these cases alone. It assembles the file (order, full tracking history, the customer’s previous reports) and prepares the next step, such as a replacement order or a refund. Once you release it, Sondercase executes in your store and writes to the customer. Why you usually carry the shipping risk on consumer orders is explained in our article on lost parcels.
Not shipped yet: change the address or cancel
“I’ve moved, can I still change the delivery address?” is a WISMO request with a deadline. As long as the order has not shipped, Sondercase prepares the address change; once you approve it, it is updated in Shopify or WooCommerce. The same goes for a cancellation before shipping. A change the carrier can no longer carry out is never promised: those cases go to you. How to prevent parcels that come back because of a wrong address or because nobody picked them up is in returned to sender.
Live tracking for DHL, DPD, GLS and other carriers
Sondercase connects the order in your store with the carrier’s tracking. You don’t maintain tracking numbers by hand or copy anything between portals. DHL, DPD, GLS and other carriers are supported. That is why the reply contains real details instead of filler: where the parcel is, when it was last scanned, and what the carrier announces as delivery.
What stays in your control
- The automation. Per category you decide where Sondercase replies fully automatically, for example for all normal status requests, while lost parcels stay in approval.
- The rules. What is offered for delays or losses is decided by you, not the AI.
- The escalation. When Sondercase is not sure, the case goes to a human with full context. It never guesses.
- The store actions. Address changes, cancellations, refunds and replacement orders come fully prepared under your rules, and you release them.
What to automate first
WISMO is the category where support automation should prove itself first: high volume, low risk, verifiable answers. Connect your store and support inbox, let Sondercase draft replies to every order status request for a week and check each one against the tracking. When they hold up, switch the normal cases to automatic. Delays and losses can stay in approval as long as you like.
Order status automation without giving up control
Automating “where is my order?” buys you time and faster replies at once, as long as every answer rests on real data. Sondercase reads the status, replies with details, fully automatically if you want, prepares store actions for your approval, and leaves you the cases that need judgment. The live demo analyses your store and resolves a real case, no signup required.
