What customer service software for online stores has to do
Most messages an online store receives are about an order that already exists: where the parcel is, a return, a cancellation, a new address, a broken product. For most D2C brands, “where is my order?” alone makes up 30–50% of all inbound tickets (the WISMO playbook).
Answering them takes a lookup in the store and at the carrier, and often an action: a refund, a cancellation, a return label. That is the line between a classic helpdesk, built to route and track tickets for any industry, and customer service software built for ecommerce. Almost every helpdesk now has an AI agent. What matters is how much of a case it can close in your shop, what it costs, and how much setup it takes.
This list compares seven tools on those points, using the vendors’ own pages as of October 2026. Sondercase is our product; we put it first and say where another tool fits better.
Six criteria for choosing customer service software for your store
- Actions or answers. Does the AI only write a reply, or can it execute the refund, cancellation or address change in your shop, and under whose rules? An AI that drafts text but leaves the backend work to a person automates the cheap part of the case (what a ticket really costs).
- Pricing model. Per agent, per ticket, per AI resolution, per AI session, or flat. Usage-based models are hard to budget, so calculate your Black Friday month, not an average one.
- Shop system. Many AI features are built for Shopify first. If you run WooCommerce, check whether the AI actions work there, not only the order sidebar.
- Channels. Check which channels are included in the plan you would actually buy and which cost extra, typically WhatsApp, voice and social.
- Data protection and EU. Where the vendor is based, where data is hosted, in which plans EU hosting is available, and whether a DPA (AVV) is in place from the start.
- Setup effort. Pre-built ecommerce workflows versus action flows, procedures or API calls you build yourself.
1. Sondercase: best for Shopify and WooCommerce stores that want cases resolved
Who it is for: owners and support leads of small and mid-sized online stores on Shopify or WooCommerce, especially in the DACH region.
Pricing basis: flat monthly plans in EUR. Every plan includes all features and your whole team; only the volume differs. Starter costs €39 per month (€29 billed yearly) for 150 AI drafts and 15 store actions, roughly 100 resolved cases. Growth costs €89 (€69 yearly) for 750 drafts and 75 actions, roughly 400 cases. Scale costs €199 (€159 yearly) for 2,500 drafts and 250 actions, roughly 1,500 cases. No per-seat fees, no per-resolution fees, no setup fee, 14-day free trial without credit card, 30-day money-back guarantee, cancel monthly.
Strengths: Sondercase resolves post-purchase cases end to end: WISMO and tracking questions, returns, warranty and defect claims, cancellations, address changes, product and policy questions. It reads live order data, tracking (DHL, DPD, GLS and more) and customer history, then handles both the reply and the store action. Replies can run fully automatically, per category and each with a confidence score and its reasoning. A refund, a cancellation, an address change, a return through the built-in returns portal with label, or a replacement order comes fully prepared, and you release it with one click. Uncertain cases go to a person. Email, WhatsApp, Instagram and Facebook are included in every plan.
Data and law: company based in Dresden, Germany; EU-first data processing wherever a provider allows it; DPA concluded automatically at onboarding; every subprocessor named in the privacy policy. German consumer law such as the right of withdrawal and statutory warranty is built in as a floor that your policies cannot undercut.
Limits: Shopify and WooCommerce only, with a focus on email and messengers. Other shop systems, marketplace sellers and IT or HR ticketing are better served further down this list.
2. Zendesk: best for large service organisations across departments
Who it is for: companies of every size and industry. According to Zendesk, more than 80,000 companies use it.
Pricing basis: per agent per month, plus automated resolutions for AI agents. On zendesk.de, Support Team costs €19 per agent per month billed yearly (€25 monthly) and is an email-ticketing plan without messaging/live chat, social channels or voice. Suite Team costs €55 yearly or €69 monthly per agent, Suite Professional €115 or €149. Team plans include 5 automated resolutions per agent per month, Professional 10; each further resolution costs €1.50 (committed) or €2.00 (pay-as-you-go), as shown on zendesk.de on 7 October 2026. The Copilot add-on costs €50 per agent per month billed yearly, available only on Suite Professional and above. Since May 2026 Zendesk has been rolling out “resolution tiers” funded by a per-agent allowance in US dollars, so check the current pricing page before you decide.
Strengths: broad channel coverage including voice AI agents, a large app marketplace, an action builder with MCP connectors, a German agent interface, and an EEA data center add-on free from Suite Professional upwards.
Limits for online stores: Shopify actions such as search, cancel and refund are available as action flows that you configure and connect to AI agent procedures. For WooCommerce, a Zendesk action-flow connector has existed since September 2026 (order lookup, customer and product updates); refunds and cancellations are not documented for it. A native returns module was not found; returns run through actions such as AfterShip or ShipStation. Example: three agents on Suite Team with monthly billing cost 3 × €69 = €207 per month, with 15 automated resolutions included; Zendesk’s pricing page does not state whether VAT is included. Details: Sondercase vs. Zendesk and Zendesk alternatives.
3. Gorgias: best for Shopify brands that also need voice and SMS
Who it is for: ecommerce brands, with a clear Shopify focus.
Pricing basis: per billable ticket, in US dollars. Starter $10 per month (50 tickets), Basic $50 billed yearly or $60 monthly (300 tickets), Pro $300 or $360 (2,000 tickets), Advanced $750 or $900 (5,000 tickets). A billable ticket is any conversation that includes a message from a human agent, a Rule or the AI Agent. Per Gorgias’ pricing FAQ, each automated AI Agent interaction costs $0.90 on an annual contract, $1.00 on a monthly one, and $1.50 above the plan allowance.
Strengths: native AI order actions in Shopify (cancel, edit shipping address, remove or replace an item, reship for free), 150+ app integrations, channels including voice, SMS and TikTok Shop, and an AI Agent that replies in more than 80 languages.
Limits: Gorgias’ compatibility table lists AI Agent and Order Management (self-service) for Shopify only, not for WooCommerce, BigCommerce, Magento or PrestaShop. Cancel, address edit and item removal are documented for unfulfilled orders. Return requests run through Order Management on Shopify, return labels through apps such as Loop Returns. Per its AI Agent security FAQ, merchants in the EU get a server in the EU; the DPA relies on EU Standard Contractual Clauses. Details: Sondercase vs. Gorgias and Gorgias alternatives.
4. Freshdesk: best for a low per-agent entry price
Who it is for: service teams of any size and industry, from the Freshworks suite.
Pricing basis: per agent per month, plus AI sessions. On the German price page, Freshdesk (email and Facebook) costs €17, €52 or €84 per agent per month billed yearly for Growth, Pro and Enterprise. Freshdesk Omni, which adds web chat, WhatsApp and Instagram, costs €29, €75 or €115. The Freddy AI Agent is billed per session, not per resolution: the first 500 sessions are included once, then €45 per 100 sessions. Copilot costs €29 per agent per month billed yearly (€35 billed monthly) and is available on Pro and Enterprise only.
Strengths: low entry price, a Freshworks-built Shopify sidebar, a free “Shopify for AI Agents” app with nine AI actions, WooCommerce in AI Agent Studio plus the free Freshworks app “WooCommerce for AI Agents” with 14 AI actions (for Freshdesk Omni), and an EEA data center you can choose at signup.
Limits: store actions are set up by you in AI Agent Studio, from templates, Freshworks apps or custom workflows; custom API actions need URL, headers, authentication and body configured. A session counts an interaction within a time window, with no resolution criterion, so unresolved conversations and previews also use up the quota. Details: Sondercase vs. Freshdesk and Freshdesk alternatives.
5. eDesk: best for sellers on many marketplaces
Who it is for: marketplace and D2C sellers. eDesk is operated by xSellco Limited in Dublin, Ireland, and processes data in the UK and the EEA.
Pricing basis: per agent per month in US dollars (same amounts in EUR in the euro area), plus AI outcomes. Essential $45 billed yearly or $55 monthly (1 store or marketplace), Growth $99 or $125 (5), Professional $129 or $159 (10). The AI Agent costs $0.99 per outcome, charged once per ticket and only when the AI answers or takes action. 14-day trial without credit card.
Strengths: Amazon, eBay, Walmart, Kaufland, Mirakl and TikTok Shop alongside Shopify, WooCommerce and Shopware; AI procedures that approve, decline or escalate returns and cancellations; EEA data processing.
Limits: per-agent pricing plus outcome fees, and a cap on connected stores per plan. For Shopify, eDesk’s help article on returns and cancellations documents per-item refunds, cancellations and replacement orders for agents; that article does not describe changing the delivery address in the store (as of October 2026). Details: Sondercase vs. eDesk.
6. armincx by Chatarmin: DACH suite with a sales-led setup
Who it is for: ecommerce and D2C brands in the DACH region. armincx is the AI customer service suite of chatarmin.com GmbH in Vienna. Its WooCommerce page addresses shops from about 100 tickets per month, and its Shopify page puts the business case at about 500 support tickets per month.
Pricing basis: not published. Both pricing pages show custom pricing after a demo. The vendor describes the model as a flat rate without seat costs plus variable AI credits, or as paying for what the AI actually automates; concrete prices only in a call. Migration is an add-on.
Strengths: according to the vendor, shop actions in Shopify, WooCommerce and Shopware 6 (cancellation, refund, address change), returns with labels via Sendcloud or DHL, a wide DACH integration list (JTL, Xentral, Billbee, PlentyOne), draft and auto-send modes, hosting in Germany, and WhatsApp marketing from the same company.
Limits: for the service suite, the official pages document no self-serve trial (as of October 2026), and the vendor quotes prices in a demo. Since September 2026 there is also a free Shopify app, “armincx AI Chatbot Sales Agent” (chat widget with FAQ and order status). Voice, socials and marketplaces are listed as add-ons. The vendor itself states that Shopify is its deepest shop integration. Details: Sondercase vs. Chatarmin.
7. Tidio: best for website live chat on a small budget
Who it is for: small businesses that want live chat and a chatbot on their website. Tidio LLC (San Francisco) and Tidio Poland are joint controllers.
Pricing basis: by conversations, in US dollars. Free plan with 50 billable conversations per month and 50 Lyro AI conversations once; Starter $24.17 per month billed yearly ($290 per year); Growth from $49.17 per month billed yearly; the Lyro AI add-on starts at $32.50 per month billed annually for 50 Lyro conversations.
Strengths: a free plan, self-serve setup that Tidio puts at under five minutes, live chat and chatbot flows, data stored in the EEA, a German agent interface and Lyro in 48 languages.
Limits: Lyro order actions run through integrations you configure yourself (Lyro Actions, i.e. custom API calls Tidio describes as meant for advanced users or developers, or MCP servers); the only pre-built Lyro Action template for Shopify is “Get order status”. For human agents, Shopify cancellations and refunds are available from the Growth plan up. For WooCommerce, Tidio documents product cards and recommendations but no order actions. Details: Sondercase vs. Tidio.
How to choose the right customer service software for your store
Start from the shape of your support:
- Shopify or WooCommerce, most tickets about orders, support by email and messenger: Sondercase. It combines AI actions in both shop systems, a built-in returns portal and a published flat EUR price with the whole team included.
- One helpdesk for several departments, voice as a core channel, enterprise requirements: Zendesk, or Freshdesk if a low per-agent price matters most.
- Shopify-only brand with chat, SMS and voice, comfortable with USD billing per ticket: Gorgias.
- Most of the volume from Amazon, eBay and other marketplaces: eDesk.
- Shopware, JTL or Xentral and a preference for a guided, sales-led rollout: armincx.
- Mainly website live chat, very small budget: Tidio.
Whatever you shortlist, test it on your own cases. With Sondercase, enter your store domain in the live demo and watch it resolve a real support case from public store data, without signup. In the 14-day trial, you start in draft mode, so nothing reaches a customer or your store unchecked, and you switch replies to automatic once they are right.
