WooCommerce helpdesk with AI: refunds, cancellations and returns in your store

Sondercase brings AI customer service with real actions to WooCommerce stores. Orders, shipping status and customer history are read live, replies can run fully automatically, and refunds, cancellations and address changes come fully prepared: one click and they run directly in WooCommerce. The same capabilities as for Shopify, under your rules.

  • Same actions as on Shopify

Refunds, cancellations and address changes run directly in WooCommerce once you approve them. In Sondercase, WooCommerce is not a second-class platform.

  • Orders and tracking, live

Items, order status, tracking numbers and customer history come from your store, shipping status from DHL, DPD, GLS and other carriers.

  • Returns and replacement orders

Return cases with a returns portal and return labels, plus replacement orders, under your return policy.

  • Every refund in plain view

Before you approve, you see the amount, the reasoning and a note that WooCommerce may send its own refund email to the customer.

WooCommerce customer service with AI: actions, not just answers

Many AI tools for ecommerce support are built for Shopify first. For WooCommerce, often only part of that remains: a text reply, while the actual work in the WordPress admin still happens by hand. Yet a WooCommerce store needs exactly what any other store needs: a solution that also acts.

Day to day, that means: the customer writes, someone opens the WordPress admin, finds the order, checks the status, looks up the carrier and carries out the refund or address change by hand. The work is in those steps; writing the reply is the smallest part.

Sondercase supports WooCommerce with the same actions as Shopify: refunds, cancellations, address changes, returns and replacement orders. The logic behind them is the same for both platforms, and so are your rules and approvals.

What Sondercase reads in WooCommerce

For every request, Sondercase pulls the relevant data live from your store:

  • Order and items: what was bought, when and at what price.
  • Order status: processing, completed, refunded, cancelled.
  • Tracking numbers and status: the current state at DHL, DPD, GLS and other carriers.
  • Customer history: earlier orders and previous requests.

That way Sondercase answers the most common question in store support, “where is my order?”, with the real shipping status (more on WISMO).

What actions Sondercase executes in WooCommerce

  • Refunds, in full or for individual line items, directly in WooCommerce through your payment method, provided it supports refunds from within WooCommerce.
  • Cancellations of orders that have not shipped yet.
  • Address changes before shipping.
  • Returns with a returns portal and return labels (automate returns).
  • Replacement orders, for example for defects or missing items.

Sondercase prepares every action under the rules you set, and nothing runs until you release it. Statutory consumer rights, such as the EU right of withdrawal, are treated as a floor (what the right of withdrawal requires).

One example: a partial refund for a missing item

On a Wednesday morning this email arrives:

Hi, the charging adapter was missing from the parcel for order #3381. I’ve since bought one myself. Could you refund me the amount for it? Best, Lisa Hoffmann

Here is how Sondercase handles it:

  1. Classify. Sondercase recognises a complaint with a refund request and matches the message to Lisa’s order #3381.
  2. Pull live data. WooCommerce returns the order’s line items, including the charging adapter at €19.90, the payment status and Lisa’s customer history.
  3. Decide. Under your rules, Sondercase prepares a partial refund for the price of the adapter, with a confidence score and its reasoning.
  4. Approve. You see the amount, the reasoning and a note: WooCommerce may send its own email to Lisa for this refund. You approve with one click, and the partial refund runs directly in WooCommerce.
  5. Escalate when it does not fit. If the case is unclear, for instance because the item was never part of the order, Sondercase hands it to you with full context instead of guessing.

A tip from practice: check once which customer emails are switched on in your WooCommerce settings. WooCommerce sends its own refund email, and Sondercase shows you that before every approval, so you can avoid duplicate or conflicting messages.

Returns and withdrawals in a WooCommerce store

WooCommerce does not ship with complete returns management out of the box, so many stores work with forms, plugins and spreadsheets. Sondercase takes over the whole flow: the customer reports the return by email or messenger, Sondercase checks delivery date, return window and items from WooCommerce and prepares a return case. The customer gets her return label through the returns portal, and the refund follows as a separate step, fully prepared with amount and reasoning, ready for your release.

If a return falls outside your conditions, for example after the window has closed, Sondercase does not quietly decide against the customer. It hands you the case. The statutory right of withdrawal and the statutory warranty always remain the floor.

One inbox for email, WhatsApp, Instagram and Facebook

Sondercase connects your existing support inbox, so you do not need an extra helpdesk plugin in WordPress. WhatsApp, Instagram and Facebook are included in every plan. The same WooCommerce data, rules and approvals apply on every channel, and replies go out in the customer’s language and in your brand’s tone.

Setting up Sondercase with your WooCommerce store

Setup is guided and takes minutes, with no engineering and no migration:

  1. Create your account and start the 14-day trial, no credit card required.
  2. Connect WooCommerce: create an API key in WooCommerce and enter it in the setup.
  3. Connect your support inbox, and WhatsApp, Instagram and Facebook if you use them.
  4. Start in draft mode: Sondercase proposes, you approve. Once the replies are right, you switch them to automatic.

The data processing agreement is concluded automatically at onboarding, data is processed EU-first wherever a provider allows it, and every subprocessor is named in the privacy policy.

What to automate first in WooCommerce

The order follows the risk. First come cases where a wrong answer is rare and can be checked at once against the order or tracking. When money moves, the action always waits for your approval, and for judgement calls you keep even the replies in draft mode longer. That way you get to know Sondercase in your store’s daily routine without any risk to your customers.

  1. Order status: high volume, every answer checkable against tracking.
  2. Product and policy questions: pure replies, no store action.
  3. Address changes and cancellations before shipping: clear rule, clear data, and the action itself stays with your approval.
  4. Returns, refunds and warranty: replies in draft mode first; labels and refunds are always released by you.

The detailed order is laid out in automate customer service.

Frequently asked questions

Does Sondercase work with WooCommerce the same way as with Shopify?

Yes. Refunds, cancellations and address changes, returns with a portal and labels, and replacement orders are available for WooCommerce just as for Shopify, with the same rules and approvals.

Does WooCommerce send its own email when a refund is issued?

It can: WooCommerce may send its own refund email to the customer. Sondercase shows you this note when you approve a WooCommerce refund, so you know which messages the customer will receive.

Do refunds work with every WooCommerce payment method?

Refunds run through the order's payment method, provided it supports refunds from within WooCommerce. If it does not, Sondercase tells you so instead of attempting the refund anyway.

Do I need an extra helpdesk plugin for WordPress?

No. Sondercase connects your existing support inbox and your WooCommerce store. There is no migration and no engineering work.

Which channels does Sondercase cover for WooCommerce stores?

Email, WhatsApp, Instagram and Facebook, all included in every plan and using the same WooCommerce data and rules.
