Richpanel alternative: who each tool is built for
Richpanel calls itself an AI-native helpdesk built for support teams that outgrew their helpdesk. It is a complete helpdesk: your tickets move in, and AI handles conversations and store actions. Richpanel Inc. is based in San Jose, California.
Richpanel is unusually clear about who it does not serve. On its AI helpdesk page it states that it is not a fit if you have fewer than 3 agents or under 500 tickets a month. Many DACH online stores sit exactly there: one founder and one or two people in support, a few hundred cases a month, most of them about orders, tracking, returns and refunds.
Sondercase is AI customer service for those stores. It resolves post-purchase cases end to end: “where is my order?”, returns, warranty claims, cancellations, address changes and product or policy questions. It connects your existing support inbox plus WhatsApp, Instagram and Facebook, reads live order and tracking data, replies fully automatically if you want, and fully prepares the store action for your approval. Plans start at €39 per month, with the whole team included.
Richpanel reviews and fit: what Richpanel says about itself
If you are reading Richpanel reviews, keep in mind that each one reflects a specific team size and ticket volume. The most reliable fit signals come from Richpanel’s own pages:
- The fit statement above: at least 3 agents and 500 tickets a month.
- An onboarding plan on Richpanel’s migration page, inside a two-week free trial for teams under 30 agents, that runs from “Your tickets move in” on day 1 through team training (day 5) and AI drafts approved by your team (day 7) to “AI goes autonomous” on day 14. Richpanel says most teams go live in under two weeks.
- An advertised guarantee: 50% of eligible conversations automated within 30 days of go-live, or a refund of that period’s subscription fees (terms apply).
For a large team replacing its helpdesk, that is a structured project with a clear promise. For a two-person store that wants help next week, a tool with a guided setup on the existing inbox, no engineering and no migration, is usually the better match.
Richpanel pricing vs. Sondercase pricing
Richpanel charges per helpdesk seat plus metered AI usage, and its official pages currently show different prices (USD, as of 30 October 2026):
- AI helpdesk page: $99 per seat, no per-resolution surcharges; AI at about $0.20 per conversation with a $200 monthly minimum and top-ups in $100 blocks, at about 0.36 credits (about $0.18) per AI conversation. Richpanel says yearly billing gives the lowest price; the page does not list a separate monthly seat price.
- Pricing page: PRO at $69 and PRO MAX at $99 per agent per month, on yearly contracts
- Shopify App Store listing: PRO at $89 and PRO MAX at $119 per month, or $828 and $1,188 per year, plus AI conversations from $0.20 each
- Returns & Exchanges add-on: from $109 per month per the returns page, with the final quote based on return volume
Sondercase has flat monthly plans in euros, with all features in every plan: Starter €39 (150 AI drafts, 15 store actions, about 100 resolved cases), Growth €89 (750 drafts, 75 actions, about 400 cases) and Scale €199 (2,500 drafts, 250 actions, about 1,500 cases). Billed yearly: €29, €69 and €159 per month. No seat fees, no per-resolution fees.
Worked example. Two people in support, at the prices on Richpanel’s AI helpdesk page ($99 per seat, AI minimum $200 per month, which at Richpanel’s ~$0.20 average covers roughly 1,000 AI-handled conversations): 2 × $99 = $198 for seats plus $200 for AI, so $398 per month, before the returns add-on. At three agents, the lower edge of Richpanel’s own fit range: 3 × $99 + $200 = $497 per month. Richpanel’s Shopify App Store listing shows PRO at $89 per user per month on monthly billing, plus AI conversations from $0.20 each. On Sondercase, both teams pay the same plan price, because team members are included: €89 per month on Growth for about 400 resolved cases, or €199 on Scale for about 1,500, returns portal and labels included in both. More on the cost side in what a support ticket really costs.
Store actions and returns
Both tools take actions in the store. According to Richpanel’s AI actions page, its agent cancels unshipped orders, edits orders, changes addresses, skips or pauses subscriptions and issues refunds under your written policy, and every action has its own permission.
The differences sit around the actions. With Sondercase, replies can run fully automatically, category by category. Every refund, cancellation or address change comes fully prepared with a confidence score and the reasoning; one click from you and it is done in your store. Uncertain cases go to a human. Returns are included in every plan, with a returns portal that provides the return label, and the refund or replacement order executed in your store. At Richpanel, returns are a separate add-on that reads products, orders and policy inputs from Shopify. Details on automated returns.
For WooCommerce, Richpanel offers a WordPress plugin that syncs orders and customers into the helpdesk; AI store actions on WooCommerce are not documented on Richpanel’s official pages (as of October 2026). Sondercase reads WooCommerce orders live and fully prepares refunds, cancellations and address changes there for your approval, the same way as in Shopify.
Channels
Richpanel covers more channels: email, chat, SMS, WhatsApp, Instagram, Facebook, TikTok Shop messages and phone. Sondercase focuses on where post-purchase questions arrive: your support inbox, WhatsApp, Instagram and Facebook, all four in every plan, with replies in the customer’s language and your brand’s tone.
Data protection: US subprocessors vs. EU-first
Richpanel’s subprocessor list names AWS, MongoDB Atlas, Pinecone, OpenAI, Anthropic and Twilio, all located in the US, and states that 360dialog is the only subprocessor that hosts customer data outside the United States. The list describes Richpanel’s default offering; customers who need EU-only processing are asked to contact Richpanel before signing. Its data processing addendum relies on EU Standard Contractual Clauses.
Sondercase is a German company based in Dresden. Data is processed in the EU wherever a provider allows it; third-country processors such as the AI model are covered by EU Standard Contractual Clauses or the Data Privacy Framework. The DPA is concluded automatically at onboarding, and every subprocessor is named in the privacy policy. The product is available in German and English and treats statutory consumer rights such as the right of withdrawal as a floor.
Testing Sondercase without risk
Start with the live demo: enter your store domain, and Sondercase resolves a real support case from your store using public data only, without signup. The 14-day trial needs no credit card. You start in draft mode, so nothing reaches a customer or your store unchecked, and switch replies to automatic once they are right. Plans can be cancelled monthly, with a 30-day money-back guarantee and no setup fee.
Conclusion
Richpanel is built for support teams with three or more agents and 500 or more tickets a month that want to replace their helpdesk, and it says so itself. If your team is smaller, your volume lower, or you want a flat euro price with returns included and EU-first data processing, Sondercase is the Richpanel alternative for stores of your size.
